Where the Costs Come From

  • Design and build: understanding the workflow, building and testing the system
  • Running costs: servers or cloud services the system uses
  • Model usage: charges from the AI provider, usually per request or per amount of text
  • Upkeep: monitoring, fixes, updates and changes as the business changes

Knowing which bucket a cost falls in makes quotes easier to compare, and shows which costs you control. Some are paid once, others every month, and each comes from a different place.

What Makes a Project Bigger or Smaller

  • How many systems it connects to, and whether they have proper APIs
  • How varied the inputs are: one form versus dozens of supplier layouts
  • How many exceptions need their own handling
  • Whether it talks to customers directly, which needs more testing
  • How much of the process needs to change around it

Comparing Quotes

When comparing suppliers, check what is included: testing, documentation, training, support after go-live, and who pays for infrastructure and model usage. A lower build price with ongoing platform fees can cost more over two years than a higher one-off build on infrastructure you own.

Measuring the Return

Estimate the time a workflow takes today, how often it happens and what errors cost, then compare after go-live. Include softer gains honestly but separately: faster replies, fewer missed calls, less stress at month end. A small, well-chosen first project that pays back clearly is a better basis for the next decision than an ambitious one that is hard to measure.

Keeping Running Costs Predictable

Set usage limits with your AI provider and cloud host, turn on billing alerts, and review the bill monthly for the first months. Most small workflows cost little to run. The nasty surprises come from usage with no limit, or a loop nobody noticed.

Points to Check in Any Quote

  • What exactly is included, and what would count as extra
  • Which costs are one-off, and which recur monthly
  • Who pays for infrastructure and AI usage, and how each is billed
  • What happens to the price if the scope changes mid-project
  • What leaving costs, if anything

Budgeting for the First Project

Budget for the build, a few months of running costs, and time from your own staff for the audit, testing and sign-off. Staff time is the cost most often forgotten, and the one that most affects success.
